Moving inventory to a new warehouse is both a physical transfer and an information change. Reconcile quantities, protect open orders and agree the release checks before the first shipment moves. A transfer plan can reduce disruption, but it cannot guarantee that sales and dispatch will never pause.

Use the inventory management guide to define sellable, reserved, damaged and in-transit stock before agreeing opening balances with the receiving warehouse.

Build the Transfer Inventory and Responsibility List

Create a SKU-level transfer manifest with variant identifiers, quantities, units of measure and handling requirements. Separate goods being moved from stock that will remain available for open orders.

  • Record source and intended destination locations.
  • List open picks, reservations, returns and unresolved discrepancies.
  • Agree who books transport, prepares labels, loads, receives and approves differences.
  • Confirm the receiving appointment and product acceptance requirements.
  • Keep packaging materials and non-sellable goods identifiable.

Do not assume that racking work, specialist transport or regulated-goods handling is included. Confirm those services and responsibilities explicitly.

Protect Open Orders During the Cutover

Choose a defined cutover window and decide which facility owns each order during the transition. Document how new orders, cancellations and address changes will be handled while inventory is in transit.

  • Keep an agreed quantity available for near-term orders where practical.
  • Avoid releasing the same order to two facilities.
  • Treat stock in transit as unavailable unless a documented promise rule says otherwise.
  • Agree how customer-facing delivery expectations will be updated.
  • Identify who can pause the transfer if reconciliation fails.

A staged move may reduce interruption, but its suitability depends on stock, transport and receiving capacity. Obtain a confirmed plan instead of assuming weekend moves or continuous live picking are included.

Prepare the Destination Before Stock Arrives

Verify location labels, receiving space, product acceptance and handling instructions. The adaptive warehouse layout checklist helps plan a controlled arrangement change, while SKU placement decisions determine which products need convenient picking access.

Supply product dimensions and any documented storage restrictions in advance. Have equipment installation or structural changes assessed by the qualified party responsible for that work. This checklist is not a claim that Skynera dismantles or installs racking.

Reconcile Each Transfer Shipment

Give every pallet or carton a transfer reference. Compare dispatch counts with receiving counts and condition. Record shortages, damage and unidentified goods before accepting the opening balance. Preserve the manifest and discrepancy evidence rather than adjusting the number without explanation.

Record SKU, variant, quantity, unit of measure, carton or pallet reference and stock status. Include source and destination identifiers where available so the receiving team can investigate differences.

After the agreed receiving and reconciliation checks pass. Arrival at the dock alone does not prove the quantity, condition or system balance is correct.

Keep the difference visible, recount where appropriate and compare dispatch and receipt evidence. Use a named owner and approval process before adjusting stock or releasing disputed units.

Validate the System Handoffs

Confirm SKU mapping, units, opening balances, order ownership and tracking updates. Use the WMS integration acceptance checklist for duplicate messages, late cancellations and recovery tests. Do not assume all channel connections will carry over automatically.

Approve the First Orders and Review the Move

Run a controlled test order after reconciliation, checking the correct SKU, quantity, label and dispatch reference. Compare unresolved differences, backlog and receiving-to-available time against the agreed plan. Retain the fallback decision until the new operation passes its checks.

Share your current stock, product profile, order volume and proposed move dates with Skynera to confirm the receiving and fulfillment scope. Transport, equipment work and timing must be agreed separately.
