Good warehousing protects the product while keeping it identifiable and ready for the next movement. For an ecommerce business, storage conditions, clear locations and handling instructions matter just as much as the final shipping label.

This guide focuses on physical product care. Use the inventory management guide for balances, reservations and replenishment, and the 3PL selection guide for the wider outsourcing decision.

Record Product Condition at Receiving

Check quantities and identifiers against the expected shipment. Record damaged cartons, shortages and unidentified products before making inventory available. Agree the evidence required for a discrepancy and who must approve the next step.

For products with special handling needs, supply the instructions before delivery. Do not assume a general warehouse offers temperature control, regulated-goods storage or specialist equipment without explicit confirmation.

Match Storage and Handling to the Product

Specify what your products need rather than relying on broad labels such as “secure storage.” Clarify packaging strength, stacking restrictions, access requirements and any lot or expiry information relevant to the goods.

  • Similar variants: Use distinct identifiers and locations to reduce selection errors.
  • Fragile products: Define handling and packaging instructions before dispatch.
  • High-value goods: Agree access, movement records and discrepancy procedures.
  • Returns: Keep items awaiting inspection separate from available stock.

Confirm product acceptance and any exclusions with the provider before sending inventory.

Keep Every Movement Traceable

Record the source and destination of internal transfers, with the SKU, quantity and reason. Update the location when the product moves, not at the end of a long shift when details may be lost.

Review differences between physical stock and system records promptly. A dashboard is useful only when the underlying receiving, picking and adjustment events are reliable. Confirm the reporting available for your operation and the owner of each exception.

Check the Order Before Carrier Handover

  1. Match the picked SKU and quantity to the accepted order.
  2. Inspect visible condition before packing.
  3. Use the agreed packaging and record the packed measurements where required.
  4. Check that the label and parcel belong to the same order.
  5. Keep a carrier acceptance record and return tracking to the correct order.

For package-cost decisions, use the dimension and weight audit without compromising protection. The order-routing guide covers the information handoffs behind these checks.

Protect the product. Record the movement. Verify the order.

Keep Returns Out of Sellable Stock Until Approved

A returned item needs its own reference, inspection and disposition. Do not put it back in the picking location simply because the outer box looks intact. Record the decision and update the stock status only when the agreed criteria are met.

Use the returns and reverse logistics workflow to define inspection, approval and exception responsibilities. Confirm any repacking, repair or disposal service separately.

Build a Product-Specific Warehouse Brief

Share product descriptions, SKU counts, package measurements, storage requirements and normal and peak volumes. Include examples of handling problems you want to prevent, and agree how they will be measured.

Ask for clear receiving, storage, packing and claims procedures. Evaluate the proposed controls against your products rather than relying on a general promise of error-free fulfillment.
