A warehouse can have stock physically present without having stock available to sell. Reservations, inspection holds and damaged units change availability. For an ecommerce brand using a Mexico fulfillment partner, a useful inventory report must explain those states and show when the information was last updated.

Agree what each balance means

Define on-hand as the physical quantity recorded in the warehouse system. Identify quantities reserved for orders, blocked for investigation, awaiting inspection or otherwise unavailable. Your system’s calculation may differ, so document which buckets are already excluded to avoid subtracting the same units twice.

Inbound stock is not automatically sellable. Decide which receipt and inspection event makes it available. Returned stock likewise needs an explicit decision before it can re-enter saleable inventory.

Map updates from warehouse to sales channel

  1. Identify the authoritative stock record and the channels that receive it.
  2. List events that change availability: receipt, reservation, cancellation, dispatch, hold and release.
  3. Define expected update timing and how stale data is detected.
  4. Test a simultaneous order on two channels for the last available units.
  5. Check that a cancelled reservation is released only once.
  6. Compare channel balances with the warehouse after interruptions and recovery.

Read a balance without double counting

In a simplified example, the warehouse records 100 units, with 20 reserved and 5 on inspection hold. If those are separate, non-overlapping buckets and no other exclusions apply, 75 units remain available. If the report already shows an available balance of 75, subtracting the reservations again would understate stock. This example illustrates definitions, not a universal WMS formula.

Do not confuse fast updates with accurate records

An incorrect receipt can be transmitted immediately to every channel. Conversely, an accurate warehouse record may reach a channel late. Treat these as different incidents: the first requires a source-record investigation, while the second requires synchronization diagnosis.

Keep timestamps and transaction references in the exception log. Avoid manually changing every system independently, which can make later reconciliation harder.

Specify the service you actually need

Ask the provider what inventory states are visible, how often updates are sent, and what happens when a channel cannot receive them. Review unresolved discrepancies and stale updates, not just the number of dashboard refreshes. Agree how the brand will be notified when availability is uncertain.
