Integrating a warehouse management system with equipment control requires agreement about what each message means. An instruction sent is not necessarily a task accepted, and a task accepted is not proof that goods physically moved. Treat these as separate events with traceable references.
Document which system allocates stock, creates work, directs equipment and confirms completion. Product architectures differ: some combine functions that others separate. Ask vendors to map their actual responsibilities rather than relying on the labels WMS or warehouse control system alone.
For each handoff, identify the task reference, SKU or load identifier, source, destination, quantity, timestamp and outcome. State who can cancel, retry or resolve an incomplete task.
If the system cannot establish whether an item moved, do not simply rerun the task. Identify the physical stock and reconcile the records through the approved procedure. Otherwise the retry may move the wrong load or duplicate a completed action.
Recovery involving machinery must follow vendor and site safety procedures. A software support instruction is not authorization to enter a restricted equipment area.
In a hypothetical conveyor handoff, the load reaches its destination while the completion message is delayed. The WMS still shows open work. The test should prove that a repeated message or controlled reconciliation closes the same task instead of creating another move. No improvement percentage is inferred from this scenario.
Track unresolved task age, rejected messages, duplicate attempts and differences between system and physical state. Assign a support owner and an escalation route. General warehouse productivity alone will not reveal an integration that occasionally loses events.
A brand seeking fulfillment in Mexico should ask how orders and inventory remain traceable during a system interruption. Confirm reporting and recovery responsibilities without assuming that the provider uses a particular equipment architecture.
For the broader operating framework, see our ecommerce inventory management guide. Use exception and recovery acceptance tests when developing the next part of the workflow.
