Customs documentation starts with product data. If the warehouse, supplier and broker describe the same SKU differently, fixing a shipment file becomes slow and error-prone. A controlled SKU master gives each team a common reference without asking warehouse staff to make classification decisions.

Describe the actual product

A description such as “accessory” or “gift item” is rarely useful to a reviewer. Collect the product’s function, materials, composition where relevant, model, manufacturer and supporting specification sheet. Include photographs when they clarify construction or use. Keep commercial nicknames separate from the technical description.

Keep country-specific review fields

  • Identity: Internal SKU, supplier code and a stable model or variant reference.
  • Specifications: Material, function, dimensions and other characteristics requested by the reviewer.
  • Classification: Reviewed destination-country code, reviewer, decision date and supporting reasoning.
  • Origin evidence: Supplier or production documentation kept separately from the dispatch location.
  • Version control: Effective date, superseded record and unresolved questions.

Consult the USITC tariff schedule for US classification research and SNICE’s Mexican classification resources for the Mexican side. Do not treat one country’s full code as an automatically valid code for the other.

Test the handoff to shipping documents

Choose a sample order and compare its SKU, unit of measure and product description across the invoice, packing record and broker’s working file. Investigate differences before dispatch. Preserve the source for declared values rather than deriving them from a warehouse inventory valuation field without review.

What if the supplier changes a product?

A new material, component or use should create a review task. Do not assume that an unchanged SKU means the product is unchanged. Ask the supplier to identify the revision and route the evidence to the classification owner.

Make incomplete records visible

Mark records as pending, reviewed or superseded. Restrict unreviewed exports to a clearly labeled working file, and establish a release decision for affected shipments. For future changes, maintain a tariff classification change log rather than overwriting fields without history.

Plan the fulfillment handoff

Connect these controls to the Mexico–US cross-border fulfillment guide. Discuss your Mexico warehousing and dispatch requirements with Skynera and confirm the agreed responsibilities before implementation.
