Circular reverse logistics depends on choosing a suitable next use for an item, not labeling every return as recoverable. A practical decision tree tells receiving staff what they may do, what requires approval and which conditions must remain on hold.

Start with identity and condition

Match the return to its order and product reference. Record what arrived, visible condition and missing components. Keep uncertain identity, contamination concerns or damage requiring specialist review out of sellable stock. The customer’s requested refund and the item’s physical disposition are separate decisions.

Define permitted routes

  • Restock: Only after the agreed inspection and release conditions are satisfied.
  • Further assessment: Use a named owner and deadline when evidence is incomplete.
  • Authorized refurbishment: Confirm the work scope, qualified provider and acceptance test first.
  • Supplier return: Obtain acceptance and connect the shipment to its authorization.
  • Other downstream handling: Confirm product-specific requirements, approved recipient and outcome documentation.

Put authority into the workflow

Specify who may approve each route and any spending limit for further work. Give staff an exception queue instead of expecting them to improvise. Keep the decision date, evidence and physical storage location together so a product cannot be sold while its disposition is unresolved.

How do you compare repair with another route?

Consider expected recovery value, inspection and repair effort, parts, transport, storage time and the chance that the item will not pass final testing. Do not assume refurbishment is free or that every additional recovery step reduces environmental impact.

Reconcile decisions with actual outcomes

A “send to repair” decision is not a completed repair. Track items through dispatch, partner receipt, work completion and final acceptance. Investigate units that disappear between those stages. Review aging by queue to find delayed approvals as well as operational bottlenecks.

Use the returns recovery measurement checklist to report completed outcomes without overstating sustainability results. Agree these routes with your fulfillment provider and product specialists before volumes increase.

Plan the fulfillment handoff

Connect these controls to the ecommerce returns workflow. Discuss your returns handling requirements with Skynera and confirm the agreed responsibilities before implementation.
