A high return rate is a reason to investigate, not proof of fraud. Product defects, inaccurate descriptions, fulfillment errors and delivery damage can produce similar patterns. A useful review process preserves evidence while giving legitimate customers a clear route to resolve a problem.

Start with the transaction and item

Match the return to the order, product, quantity and shipment records. Capture the received condition using the agreed inspection process. If serial or batch identifiers are part of the product workflow, compare them with the recorded outbound reference. Record missing evidence rather than filling gaps with assumptions.

Build a review queue

  1. Document the specific discrepancy that triggered review.
  2. Check for warehouse, carrier or product-quality explanations.
  3. Request only information relevant to resolving the discrepancy through the authorized customer-service process.
  4. Assign a trained reviewer and record the evidence supporting the decision.
  5. Provide an escalation path for uncertain or challenged cases.
  6. Separate the refund decision from the physical item’s restocking decision.

Measure false alarms

Track confirmed issues, cleared alerts, unresolved cases and time to resolution. Review results by product and trigger. A rule that flags every frequent buyer may generate a large queue without identifying useful evidence. Do not celebrate the number of blocked requests as if every one were fraudulent.

Does identity verification prove a return is valid?

Account security and item verification address different problems. Confirming access to an account does not establish the condition or contents of a returned parcel. Avoid adding blanket friction without defining the risk it addresses and testing its effect on legitimate customers.

Protect a consistent review process

Keep access to evidence limited to the appropriate team and follow the applicable data-handling and customer-policy requirements with qualified review. Do not publish or circulate allegations based only on an automated score. Record corrections when an alert is cleared so a mistaken flag does not keep generating new cases.

For disputed handoffs, the returns traceability evaluation explains the event record needed regardless of the software chosen. Agree responsibilities between customer service and the fulfillment provider before introducing new detection rules.

Plan the fulfillment handoff

Connect these controls to the ecommerce returns workflow. Discuss your returns handling requirements with Skynera and confirm the agreed responsibilities before implementation.
