A returned item should not move directly from “repair completed” to “available for sale.” Refurbishment needs distinct approval gates so the warehouse can explain what work was authorized, whether it passed testing and who released it into the correct inventory condition.

Keep the return identity throughout the process

Link the item to its return reference and original product identifier. Record its condition on receipt, accessories and relevant inspection evidence. Assign a storage location and a hold status while the next step is being decided. Avoid replacing the identifier when it goes to an external repair partner.

Define the gates

  1. Assessment: Establish whether qualified inspection or repair is appropriate for this product.
  2. Authorization: Confirm the work scope, spending limit and responsible approver.
  3. Work completion: Record the work actually performed and any unresolved findings.
  4. Acceptance: Apply the agreed product-specific test and document the result.
  5. Inventory release: Assign the approved condition and selling description before making the quantity available.

Measure waiting time separately from repair time

Track time waiting for approval, parts, partner collection and acceptance. A long cycle may be caused by an unanswered decision rather than slow technicians. Review aging by gate and assign an owner to each stalled item.

What if repair costs exceed the limit?

Stop for a new decision. Do not keep adding work simply because the item is already at a repair bench. Compare expected recovery with remaining effort and authorized alternatives, while preserving product safety and applicable requirements.

Close the physical and system records together

Reconcile the partner’s completed quantity with the returned units, test records and warehouse receipt. Keep failed or untested items out of sellable stock. Customer-facing condition and warranty statements require their own appropriate review; they should not be invented by a warehouse status update.

Use the return disposition decision tree for items that do not proceed to resale. Confirm whether repair work belongs with the seller, an approved specialist or another provider; do not assume a fulfillment service includes refurbishment.

Plan the fulfillment handoff

Connect these controls to the ecommerce returns workflow. Discuss your returns handling requirements with Skynera and confirm the agreed responsibilities before implementation.
