Return authorization tells a customer or channel how an item may enter the returns process. It is not the same event as warehouse receipt, inspection, restocking or refund completion. Keeping those events separate is the foundation of a useful automated workflow for ecommerce fulfillment in Mexico.

Define the authority behind each status

Before configuring rules, identify who owns the return policy and who can approve exceptions. Have that team confirm applicable channel and customer requirements. The warehouse should receive clear handling instructions, not invent refund deadlines or eligibility rules.

Map the states explicitly: requested, authorized, in transit, received, inspected and resolved. Record refunds separately so a carrier scan cannot accidentally close a customer case.

Specify the request and warehouse handoff

  1. Match the order: Collect order reference, SKU, quantity and stated reason; detect duplicates before issuing another authorization.
  2. Apply approved rules: Send incomplete or exceptional requests to a named reviewer instead of rejecting them silently.
  3. Create a unique reference: Keep it on customer instructions, expected warehouse receipts and case records.
  4. Explain the next step: Provide the agreed destination and packing instructions, with a contact route if the customer cannot follow them.
  5. Reconcile receipt: Compare expected and received items; keep unmatched parcels identifiable and unavailable for sale.

Test exceptions before automatic approval

Run test cases for partial returns, duplicate requests, wrong quantities, missing references and parcels arriving before the expected-receipt message. Replay a message to verify that it does not create a second receipt or refund instruction. Test an outage and a manual recovery process.

Should every authorized return trigger a refund?

No. Follow the separately approved refund process. Authorization, parcel receipt and product condition provide different evidence, and your workflow must preserve those distinctions.

What should customer service see?

The current state, latest verified event, missing information and next responsible team. Avoid describing an item as inspected when only a delivery scan has arrived.

Measure waiting and unresolved work

Track request-to-decision time, unmatched receipts, duplicate events and cases awaiting review. Separate customer response time from warehouse processing time. If requests are approved quickly but inspection is backlogged, speeding authorization alone will not resolve the bottleneck.

Connect authorization to the rest of the process

Use the reverse logistics workflow to define downstream responsibilities. Where automated routing is being considered, the triage and human review checklist explains how to retain a controlled exception path.
